On most jobs we see, certificates live in four places at once: a carbon pad in the van, a PDF in someone's inbox, a photo on a phone and a folder on the office drive. Handover day becomes a hunt. Who signed the gas certificate? Was the inspector's 2391 still in date? Did the client get the latest revision, or the one before?
We built Compliance & Certificates so you can answer those questions in seconds, because the record is kept where the work is done.
What's new
Certificates on the project, the block and the plot
Each document sits at the level it belongs to. Site-wide documents such as the Construction Phase Plan, RAMS, the HSE F10 notification record and the CDM Health & Safety File live in the project's Site Compliance tab. Documents for the shared parts of a building, such as fire risk assessments, fire door inspections and fire stopping, sit on the block. Certificates for each home, such as the EIC, gas certificate, CP12, EPC and air tightness test, go in a new Certificates & H&S tab on the plot, next to Tasks and Quality Control.
25 UK templates, ready on day one
Start from ready-made templates for the documents UK contractors are asked for most: new build, retrofit and refurb, maintenance, health and safety, Building Regulations and fire. Edit any of them, or build your own with questions, photo evidence, mandatory fields, conditions, file uploads, required qualifications, signatures and recurrence. See the full list on the feature page.
Only qualified people can fill in or sign
A template, and each signature on it, can require qualifications such as Gas Safe, NICEIC or NAPIT, 18th Edition, 2391, Fire Risk Assessor or PAS 2035 Retrofit Assessor. DuoApp checks them when someone opens the document and again at the moment they sign. Admins aren't exempt. If an inspector's Gas Safe registration expired last week, they can't sign until a renewed card has been uploaded and verified.
Workers add their qualifications with evidence on their profile and an admin verifies them. Cards already approved in Document Compliance count too, so nobody uploads the same Gas Safe card twice. Reminders go out 30 days before a qualification expires.
Every signature, including the client's
Installer, inspector and client can sign in a set order if you choose, each with a touch-screen signature under the declaration text. Each signature records the signer's name, qualification, registration number and the time, plus the location where the device allows. A client or inspector can sign on your tablet, or you can email them a signing link: they read the document and sign in their browser, with no DuoApp login. The link works once and expires after 14 days, and you can withdraw it at any time.
Locked, fingerprinted and sent
When the last signature goes on, the document locks. DuoApp records a SHA-256 fingerprint of its contents and creates a PDF branded with your logo. A signed document can't be quietly edited. A change is made as a new revision, and the old one is kept in the history as superseded. Email the PDF, with any uploaded certificates, to the client or building control straight from DuoApp, and every send is added to the document's sent log.
Works without a signal
Certificates get filled in where the signal isn't: plant rooms, risers, basements, new-build shells. In the DuoApp mobile app, answers, signatures, photos and files are kept on the device and upload on their own when you're back online, so there's nothing to re-enter.
Renewals that come round on their own
Recurring documents such as the annual CP12, the five-yearly EICR and quarterly fire door inspections renew automatically, with reminders before they're due and alerts once they're overdue. A company dashboard shows what's overdue, due for renewal or awaiting signature across every project. Everyone with access also gets a Waiting for you list of their own drafts to finish, renewals to complete and signatures to give or collect.
Handover, without the hunt
The plot page shows how many required or unfinished documents are still outstanding, and a tick once they're all complete. When you move a plot, a block or a whole project into aftercare, DuoApp first lists any certificates still outstanding, so nothing is handed over by accident. You can still choose to hand over anyway. A per-plot handover pack gathers every completed document for that home in one download.
For higher-risk buildings under the Building Safety Act, mark the project, record the building control body and the F10 reference, and download a golden thread pack: a zip of every completed document, its PDF and uploaded certificates, with an index listing each fingerprint. There's more on what a handover file needs in our new-build handover certificates checklist.
Certificates issued elsewhere, read by Duo AI
Some certificates come from someone else: an accredited energy assessor, building control or your NICEIC or NAPIT scheme software. Record them in DuoApp with their details and upload the certificate itself. Where Duo AI is on, a Fill answers with Duo AI button reads the uploaded PDF or photo and suggests answers. You tick the ones to use, and nothing is saved until you save the document.

Good to know
- It works alongside your scheme software. DuoApp doesn't replace your NICEIC or NAPIT software, or the notification you make through your competent person scheme. Certificates issued elsewhere are recorded and kept with the plot.
- Responsibility stays with the signer. DuoApp keeps the record and its history. Responsibility for the work, and for meeting the regulations, stays with the people doing and signing it.
- Records are kept. Compliance documents are records for the life of a building, so they're left out of DuoApp's routine data-retention clean-ups.
