Switch it on

An admin turns on Cloud Drives in Admin → DuoApp Features.

Connect your drive

Go to Admin → Cloud Drives and choose Dropbox or Google Drive. You sign in on their own website, so DuoApp never sees your password.

Everything is copied

Everything already in DuoApp is copied across in the background. For large accounts this can take a few hours - you can carry on working as normal.

Kept up to date

From then on, new and changed documents are copied to your drive within seconds of being saved.

// What gets backed up

Your documents, filed the way DuoApp files them.

  • Project files, in the same folders as the Files page. Project files and your own folders, house types, blocks, levels, plots and fixing stages.
  • Quality Control reports and photos. Each report as a PDF, with its photos, in the plot's fixing-stage folder.
  • Aftercare reports and photos. Each report as a PDF with its photos, plus photos on Aftercare issues, in the plot's Aftercare folder.
  • Approved subcontractor invoices and timesheets. Once they're approved or paid, filed by year and month.
  • Your DuoApp invoices and credit notes. Your own DuoApp billing, kept alongside everything else.
  • Choose what's included. Each of these can be switched on or off, so you only back up what you want.

Only its own folder

DuoApp only works inside its own folder - an app folder in Dropbox, a DuoApp folder in Google Drive. Nothing else in your drive is touched.

Works both ways

Add, edit, rename, move or delete a project file in Dropbox and DuoApp does the same, within seconds — and the other way round. In Google Drive, edits, renames, moves and deletes come back; new files are added in DuoApp. Invoices, timesheets, QC and Aftercare stay read-only.

You stay in control

Choose what's backed up, see progress and anything that couldn't be copied, and disconnect at any time. Files already copied stay yours.

Does Cloud Drives cost anything?
No. Cloud Drives is free and included on every plan. There's no add-on charge and nothing extra on your DuoApp invoice. Your files are stored in your own Dropbox or Google Drive, so they count towards that drive's storage.
Which cloud drives does it work with?
Dropbox and Google Drive are available now. Microsoft OneDrive is coming soon.
Where do my files go?
Into DuoApp's own folder: an app folder under Apps in your Dropbox, or a DuoApp folder in your Google Drive. DuoApp can only work inside that folder - nothing else in your drive. Inside it, project files are organised in the same folders as the Files page in DuoApp.
What if my drive fills up?
Copying pauses and admins see a message on the Cloud Drives page. Once there's space again, it carries on where it left off.
Does it copy drafts?
No. Subcontractor invoices and timesheets are copied once they're approved, and Quality Control and Aftercare reports once they're submitted.
Can I add or change files in my drive?
Yes. In Dropbox, add a file to a project, block, level, plot or stage folder and it appears on that project's Files page in DuoApp within seconds. Editing, renaming, moving or deleting a project file in your drive does the same in DuoApp, and new folders you create there become DuoApp folders. In Google Drive, DuoApp can only see the files it put there, so edits, renames, moves and deletions come back but new files are best added in DuoApp. Invoices, timesheets, your DuoApp invoices and QC and Aftercare reports stay read-only: if one is changed in your drive, DuoApp puts its copy back.
What happens if I disconnect?
Copying stops in both directions. Everything already copied stays in your drive. If you reconnect the same drive later, it carries on where it left off.
